How it works

Build a simple email signature from your name, role, company and optional contact details. The output uses presentation tables, inline styles, a standard Arial font and underlined contact links. Choose from three accent colors with high contrast against the white signature background. Download HTML for formatted installation or plain text for clients that do not support rich signatures. A few things to know

Email clients can alter pasted HTML, colors and spacing, especially in dark mode; test in the clients your audience uses. No logos, images, tracking pixels or remote assets are included. This tool does not verify ownership of an address, phone number or website. Email addresses use a practical ASCII subset rather than every format allowed by email standards. Phone extensions are not supported. The on-page preview is plain text, and the Copy results button copies HTML source.

A little context

When to use this tool

A useful email signature makes your name and contact routes easy to find without turning every message into a large graphic. This builder creates a compact signature using presentation tables, inline styles and standard fonts. Enter your name, optional role, company and contact details, then download HTML and plain text. The page previews your details as text; formatted installation happens in your email client after you review the generated file.

  • Create a simple professional signature without external images or tracking pixels.
  • Prepare matching HTML and plain-text versions of contact information.
  • Update a role, company name or website consistently before installing a signature.

How to use email signature builder

  1. Enter your identity and contacts

Supply Full name and any optional role, company, email, phone and website details. Use a complete HTTP(S) website URL. Include a phone country code where appropriate; extensions are not supported.

  2. Choose the accent and generate

Pick an available accent color and create the signature. Review the plain-text details table and the contact-link count. All entered details are escaped as text rather than treated as your own HTML.

  3. Install and test the right format

Download HTML for rich installation or text for a plain signature. If your editor expects formatted content, open the HTML file in a browser and copy the displayed signature. Send yourself a test message and check the links.

Build the supplied studio signature

Inputs

Use Alex Morgan, Founder & Designer, Small Hours Studio, hello@example.com, +1 (202) 555-0123 and https://example.com. Select the Navy accent.

Result

The result identifies Navy, three contact links and HTML + plain text. Downloads are email-signature.html and email-signature.txt. The table lists the supplied details; Copy results copies HTML source.

What it means

The email, phone and website each generate a link. The on-page table is not a rich signature preview, so inspect the downloaded HTML and the installed email-client result before using it.

Common mistakes to avoid

Pasting source into a rich-text editor

An editor expecting formatted content may display raw table tags if you paste HTML source. Open the downloaded HTML and copy its displayed signature when that is the required installation method.

Skipping a real test email

Email clients can change spacing, colors and formatting, especially in dark mode. Test the installed signature in the clients you and your contacts actually use.

Assuming contact ownership is verified

The builder checks supported formats but does not prove that you control an address, phone number or website. Review every detail before distributing the signature.

Useful answers

Frequently asked questions

Definitions, edge cases, and practical next steps for this tool. Search all tool FAQs ↗

Which fields are required?

Full name is required; role, company, email, phone and website are optional. Omit fields you do not want in every message. The result only includes the supplied details, so you can produce a compact name-and-role signature or one with several contact routes.

What does Copy results copy?

It copies the generated HTML source, not a rich-text selection. Use that code only in an editor that accepts HTML source. For a normal formatted signature editor, download and open the HTML file, select its displayed content, and copy that instead.

How do I install the plain-text version?

Download the text file or copy the reviewed contact text into an email client’s plain-text signature field. Plain text is useful where formatted HTML is unsupported or undesirable. It does not reproduce the HTML accent color, tables or styled contact presentation.

Does this signature include images or tracking?

No. It uses text, tables, inline styles and standard Arial-family fonts. There are no logos, remote assets or tracking pixels in the generated signature. This keeps the output simple, though it does not prevent an email service from modifying the surrounding message.

Can I add a logo or custom HTML?

This builder intentionally provides the listed text fields and three accent choices. It does not accept logo uploads or arbitrary HTML. Entered markup is escaped as text. If you later customize the downloaded HTML, test the modified version carefully in your email clients.

What website and phone formats are supported?

Use a complete http:// or https:// website URL without embedded credentials. The phone field supports a practical numeric contact format, with a country code recommended for international recipients. Extensions are not supported, and the tool does not test whether a phone number is reachable.

Will the signature look identical in all email clients?

No. Tables and inline styles provide a practical starting point, but clients can alter pasted HTML, fonts, spacing and colors. Dark mode can also change appearance. Check a sent test message on the desktop and mobile clients important to your audience.

Can the builder prove my contact details are correct?

No. Supported syntax checks do not establish mailbox existence, phone ownership or website availability. Click the installed links and review the information yourself. Updating the generated file also does not automatically replace a signature already saved in your email client.
