How it works

Plan an upfront deposit followed by payments tied to project milestones. A 10,000 project with a 30% deposit leaves 7,000: milestone shares of 40%, 40%, and 20% produce payments of 2,800, 2,800, and 1,400. Download the schedule to discuss payment terms with your client.

Deposit = round(total fee × deposit percentage / 100) to the nearest cent. Remaining balance = total fee − deposit. Each milestone receives its percentage of the remaining balance, rounded down to cents; leftover cents go to the largest fractional remainders. Cumulative payments + unpaid balance = project fee.

A few things to know

A planning calculator, not an invoice, payment collector, or contract. Excludes taxes, processing fees, interest, scope changes, due dates, and currency conversion. Confirm milestone acceptance criteria, payment terms, and refund terms separately. Assumes a currency with two decimal places. Supports up to 100 milestones, 100,000 CSV characters and percentages with six decimal places. Numeric text is limited to 64 characters. A 100% deposit can use an empty milestone list.

A little context

When to use this tool

A project payment plan is easier to discuss when every payment amount and remaining balance is explicit. This deposit and milestone calculator separates an upfront percentage of the total fee from milestones that divide the balance left afterward. It creates a cumulative payment schedule and a CSV export, with cent allocation that keeps payments equal to the full project fee. Use it to prepare a proposal or discuss terms; dates, acceptance criteria and payment collection still need to be handled separately.

  • Turn a project quote into an upfront deposit and staged payment amounts.
  • Compare deposit percentages before discussing a client’s payment plan.
  • Export a reconciled schedule so rounding does not leave an unexplained final balance.

How to use project deposit and milestone payment calculator

  1. Enter the complete project fee

Set Total project fee using one currency with at most two decimal places. The tool uses this amount as the total to allocate.

  2. Choose the initial deposit

Enter Upfront deposit (% of total fee). This percentage applies to the full fee and is rounded to the nearest cent.

  3. Divide the remaining balance

Add label, percentage rows in Remaining payment milestones (CSV). Their percentages must total 100% of the post-deposit balance. Review cumulative amounts and download the schedule.

Try the numbers

A 30% deposit with three remaining payments

Inputs

Project fee 10,000; deposit 30%; Design approval 40%, Build complete 40%, Final handover 20% of the remaining balance.

Result

The deposit is 3,000.00 and remaining balance is 7,000.00. The milestone payments are 2,800.00, 2,800.00 and 1,400.00. Cumulative payments reach 10,000.00 with no unpaid balance.

What it means

Each 40% milestone is 40% of 7,000, not 40% of the full project fee. The deposit plus all balance shares reconciles exactly to the agreed fee.

Common mistakes to avoid

Applying milestone percentages to the full fee

Milestone shares divide the remaining balance. Treating them as shares of the full fee would over-allocate this calculator’s plan.

Leaving deliverables ambiguous

A label is only a description in this schedule. Define acceptance criteria, due dates and scope separately in your actual agreement.

Assuming two decimals fit every currency

The tool allocates cents using a two-decimal convention. It is not suitable for every currency or billing increment without adjustment.

Useful answers

Frequently asked questions

Definitions, edge cases, and practical next steps for this tool. Search all tool FAQs ↗

Do milestone percentages include the deposit?

No. The deposit percentage applies to the total project fee. Milestone percentages apply only to the balance remaining after that deposit. The milestones must collectively account for 100% of that balance rather than adding up with the deposit percentage.

How does the calculator prevent rounding gaps?

It rounds the deposit to the nearest cent, allocates each milestone’s share of the remaining cents, and distributes leftover cents to the largest fractional remainders. Input order breaks ties. This keeps total scheduled payments equal to the project fee.

Can I use a zero deposit?

Yes. All of the fee then becomes the balance divided by milestones. You still need at least one milestone, and the milestone percentages must total exactly 100%. The tool does not prescribe a suitable deposit for your business.

Can I request the entire fee upfront?

A 100% deposit leaves a zero balance, so you can leave the milestone list empty. The result is a fully allocated upfront payment plan. Whether that arrangement suits the project or client must be decided separately.

Can I enter percentages with decimals?

Yes, up to six decimal places. Their sum must still be exactly 100%, such as 33.333333, 33.333333 and 33.333334. A zero-percent milestone is rejected. The fee itself accepts no more than two decimal places. Fee and deposit input text are each limited to 64 characters.

What should the milestone CSV look like?

Enter one label and percentage per line, separated by a comma. An optional Milestone,Percent header is accepted. Quote labels containing commas so they remain one cell. Up to 100 milestones are supported, each with a nonempty label. The complete CSV input is limited to 100,000 characters; remove unnecessary rows or use a smaller planning schedule if it exceeds that limit.

Are taxes and transaction fees calculated?

No. The entered fee is simply allocated across payments. There are no separate tax, processing-fee or interest inputs. Establish the intended fee basis and any additional charges in your proposal and invoicing process before using the schedule.

Does the CSV act as an invoice or contract?

It is a planning export with payment amounts, cumulative amounts and unpaid balances. It does not issue invoices, set due dates, collect funds or create contractual terms. Use it as supporting arithmetic for the payment process you already manage.
