How it works
Categorize unpaid invoice balances by calendar days past their due dates as of the matching export snapshot. Sum current, 1–30, 31–60, 61–90 and 91+ buckets separately for each currency, with exact two-decimal arithmetic.
A few things to know
Does not reconstruct historical balances, predict payment, calculate interest or combine currencies. Rejects negative credits and duplicate IDs within a currency. Two decimal places only; no grouped or symbol-prefixed amounts. 2 MB / 10,000 records. File uploads are not saved as scenarios.
Results use your inputs. Keep all money amounts in the same currency.
When to use this tool
An aging worksheet groups supplied unpaid invoice balances by their due dates, rather than estimating how quickly future customers will pay. Choose the calendar date that matches the exported balances, then inspect current and overdue buckets. The tool calculates date differences in UTC calendar days to avoid daylight-saving changes, and it never combines different currencies. A due date equal to the snapshot is current. Customer and bucket downloads give you an organized view of the records, but a current export cannot reconstruct what was outstanding at an earlier date.
- Review which supplied invoices fall into overdue age buckets.
- Separate outstanding customer balances by currency.
- Prepare invoice detail and summary CSVs for a discussion with your bookkeeper.
How to use invoice aging worksheet
Supply a balance snapshot
Paste or upload comma-separated invoice CSV, with invoice ID, customer, due date and unpaid balance columns. Use exported unpaid balances, not original invoice amounts.
Match date and column names
Enter the snapshot date that belongs to the export and exact header names. Currency column is optional; if omitted, all amounts are reported as entered units without an assumed currency.
Inspect groups and exceptions
Review current, 1–30, 31–60, 61–90 and 91+ buckets. Negative credits and duplicate IDs within a currency stop the worksheet so you can resolve them separately.
Age two currencies without adding them
Inputs
Snapshot 2026-10-12. Maya has USD 100 due 2026-09-11 and USD 50 due today. Alex has EUR 40 due 2026-09-12.
Result
Maya’s USD 100 is 31 days overdue, in 31–60; USD 50 is current. Alex’s EUR 40 is 30 days overdue, in 1–30. Currency totals are USD 150 and EUR 40.
What it means
Separate totals prevent an artificial 190-unit mixed-currency balance. This does not predict collection timing.
Common mistakes to avoid
Using a date unrelated to the export
Balances must correspond to the chosen snapshot; the tool cannot reverse later payments.
Subtracting credits from unrelated invoices
Negative balances are rejected for separate credit review instead of silently offsetting customer invoices.
Mixing original amounts with unpaid balances
A partially paid invoice needs only its remaining balance, or the outstanding total is overstated.
Frequently asked questions
Definitions, edge cases, and practical next steps for this tool. Search all tool FAQs ↗
What is current in this worksheet?
An invoice due today or later is current. Past-due days are clamped at zero for those dates; overdue buckets begin at one day.
Where does an invoice 31 days overdue go?
Into 31–60, once. Boundaries are 1–30, 31–60, 61–90 and 91 or more calendar days.
Are weekends excluded?
No. These are calendar days, not business days. Contractual grace periods, local holidays and collection policies are not modeled.
Can I use balances from today with last month’s date?
That would not reconstruct last month’s receivables. Use a historical balance snapshot exported for the same date or obtain the correct report from your accounting system.
What happens to multiple currencies?
They receive separate totals and customer groups. No rate is fetched and no exchange conversion is performed. Blank currency cells are rejected when a currency column is selected.
How are credits and zero balances handled?
Negative credit balances are rejected for separate review. Zero balances remain in the invoice detail, but add zero to the relevant bucket.
Can invoice IDs repeat?
Not within the same currency group. Repeated IDs can double-count a balance, so resolve duplicates first. The same literal ID in a different currency is a separate identity.
Is this a collection or bad-debt recommendation?
No. It organizes supplied balances and dates. It does not assess creditworthiness, accrue interest, issue legal notices or forecast when cash will arrive.
